Controlling Information Technology (IT)
Technology can help you:
The way you manage incoming documents, and create and file your
own internally-generated documents can send your speed and productivity
through the roof – all cost-effectively.
You rely on technology:
For you to succeed in your markets, your computer, email, phone,
and wireless systems have to stay up and running all the time – even in
the event of a planned disruption like relocating or opening a new
office, or an unplanned event, from a hiccup in your system, to a fire,
natural disaster or public emergency.

Here are a handful of suggestions for trimming your corporate expenses:
• Reduce your W-2 wages and do distributions for the rest of your
salary. This will reduce Medicare payments. It does require you to do
tax planning and save a percentage of your distribution to pay Federal
and State tax, but it will also save you 2.5 percent for Medicare.
• Consider discussing with your employees the need for layoffs and
see if they prefer having a pay reduction to maintain their employment
• Consider negotiating with the union.
• Rather than giving bonuses, utilize “pay for performance”. In
this way, the employees do not feel entitlement and you only need to
pay if in fact they get their work accomplished.
• Review your liability insurance since it is based on revenue.
Reducing your insurance if you have a decrease in revenue is important.
• For worker's compensation insurance—even though you paid in
advance for the year—you can ask for a payroll audit to reduce or get a
refund if you reduced your payroll.
• To maintain travel expenses, consider giving only the IRS
allowance to your employees rather than paying for meal expenses. Also,
discontinue paying for alcohol.
• Use airline points to pay for airplane tickets.
• If you have a timeshare and you will be traveling, consider using the timeshare instead of a hotel.
• Lower the IRS allowable mileage since gas has gone to a lower rate-per-mile.

Remote Workers and Home Offices
Are
you looking for ways to minimize expensive professional office space
costs and reduce commuter impact? Keeping an eye on costs is
paramount for 2010 budgets. Dollars associated with housing
workers as well as commuting to meetings and employee parking costs
have business owners searching for alternative ways to conduct
business. Small offices, home offices or satellite offices
are a viable solution for lowering operating expenses and are popular
with both large, medium and small business. Large
businesses with large call centers or multiple offices in high-priced
locations are virtually extending their offices to suburbs and employee
home offices nationally. The landscape of the workplace has
changed and will continue to change in coming years because of the
Internet and the technology it offers. Our experience is that
remote data & telephony solutions can provide access for remote
offices and employee home offices to the enterprise's common facilities
with little or no difference in the service. Our
understanding is that the flexible home office has been proven to
promote employee retention and allows for employees to apply commuter
time to more productive work for their organization. Remote
offices can be located in other cities and time zones to take calls
after the other call centers have closed for the day. One call
center can handle calls for the entire company after hours for repair,
service or other problems. These remote offices allow access to lower
cost of living communities and can tap areas of the country that have
qualified employees with lower salary requirements, while
simultaneously reducing office expenses.
